Accounts Payable Automation India: From Purchase Order to Payment Without Retyping

For owners and finance or purchase heads at Indian SMEs: raise the order, receive against it, and let AI read the supplier bill and match it before anyone approves money.

Accounts payable automation India businesses can rely on starts well before the bill arrives. If the purchase order lives in an email and the goods receipt lives in a register at the godown, no software can tell you whether the bill in front of you is right.

Most small and mid-sized firms still check supplier bills by eye. Someone holds the invoice next to a printed PO, rings the stores to ask what actually came in, and types the numbers into the books. It works until volumes grow, and then it quietly leaks money.

This page explains where that leak comes from, walks through an illustrative example, and shows how Apragya runs procure to pay on one record so the checking is done before a person is asked to decide.

What manual payables really cost

Paying for what never came

Short supplies and rate changes slip through when nobody compares the three documents.

Hours of retyping

Each bill is keyed in by hand, often twice: once in purchase, once in accounts.

Lost input credit

Bills that never reach GSTR-2B matching mean credit claimed late, or not at all.

Strained suppliers

Payments wait for approvals that live in WhatsApp threads.

An example: a Pune auto-parts maker and one supplier bill

Take an illustrative component manufacturer that buys steel, packaging and consumables from about sixty suppliers. A PO for 500 brackets goes out; 480 arrive, and the bill that follows charges for 500 at a rate two rupees higher than agreed.

What the system checked before anyone looked

Supplier bill, matched

  1. Supplier, GSTIN, lines, rates and tax pulled off the PDF.

  2. The agreed quantity and rate on the purchase order.

  3. What the stores actually counted in.

  4. 20 units short and a higher rate on every line.

  5. The deduction worked out for the payment.

  6. Asked the supplier for a credit note.

The bill was held on the variance, before anyone was asked to pay it.

The bill was held, not paid. The buyer asked for a credit note in the same thread, the corrected amount went into the next payment run, and the input credit matched GSTR-2B without anyone reconciling by hand.

How Apragya works as procurement software for SMEs

Step 1 of 5

Request

A purchase request with the item, quantity and reason, routed for approval.

  1. Request: A purchase request with the item, quantity and reason, routed for approval.
  2. Order: A purchase order sent to an onboarded supplier with verified GSTIN and bank details.
  3. Receive: The goods receipt posts stock and records exactly what arrived.
  4. Read and match: AI reads the bill and runs a three-way match against the PO and GRN.
  5. Approve and pay: Approvals follow your limits, then bills go into a payment run with TDS.

Why purchase order software India teams use should sit on the ledger

A standalone PO tool can send orders. It cannot tell accounts what arrived, and it cannot stop a wrong bill from being paid. When orders, receipts, bills and payments share one record, the check happens by itself and the books are right the moment the payment is made.

What sets Apragya apart

Verified suppliers

Vendor Onboarding checks GSTIN, PAN and bank details before the first order.

AI that holds a bill

Variances stop the bill and explain why, instead of just flagging a score.

Approval rules you set

Thresholds, delegation and escalation without custom code.

GST on the same record

Input credit reconciled against GSTR-2B from the bills you posted.

TDS worked out

The right section and rate on the payment, not after it.

Stock and books agree

The GRN posts inventory; the bill posts the ledger.

Go deeper on the pieces: the purchase register, GSTR-2B reconciliation and TDS computation.

Getting started

  1. Onboard your top twenty suppliers so their GSTIN and bank details are verified.
  2. Set approval limits by amount and department.
  3. Raise the next week's POs in Apragya and receive against them at the godown.
  4. Send the supplier bills to the system and review what the match holds.
  5. Run your first payment batch with TDS worked out.

Most teams see their first held bill within a week. That one bill usually pays for the change.

Accounts payable automation, answered

Does the AI approve payments on its own?
No. It reads bills, matches them and holds the ones that do not agree. Payments follow the approval limits you set, and a person signs off.
What if a supplier sends a bill without a PO?
Bills without a PO, such as rent or utilities, are entered directly and go through the same approval limits.
Can it handle partial deliveries?
Yes. Each GRN is matched against what is still open on the PO, so part deliveries and part bills line up.
Which bill formats can it read?
PDFs, scans and photos of printed bills. Low-confidence fields are shown for a person to confirm.
Does it work with our bank?
Payment runs produce the payment batch for your bank, and bank statements can be imported to reconcile.
What does it cost to start?
Purchase and Payables is available from the Starter plan, INR 3,999 a month for up to 10 users, which includes CRM and HR plus a choice of enterprise apps and 2,000 AI Credits a month. Pro, at INR 7,999 a month, covers 25 users and every enterprise app.
